Job Title: Administrative Assistant

Compensation: $16.00/hour

Schedule: Full-time, Mon - Fri, 8am to 5pm

Administrative Assistant: This position is primarily responsible for providing administrative support to the Chief Executive Officer and the President. This position will provide office and operational support to the Agency by performing the following duties. Position reports to the President.


JOB RESPONSIBILITIES:


This position will have core duties and responsibilities including the following:

  • Serves as the front office receptionist to greet guests, receive packages, sort mail, answer phone calls to the main line and forward them to the appropriate staff
  • Maintains office supplies and coordinates services for facility contracts with janitorial, IT, alarm, HVAC, etc.
  • Provides direct administrative support to the CEO and the President
  • Schedules meetings and appointments for the CEO and the President
  • Coordinates meetings including scheduling, sending Outlook invitations, ordering food, preparing agendas, creating meeting packets, arranging for audio/video equipment, etc.
  • Coordinates the office supply inventory and flow of daily mail for operations
  • Provides office manager support and acts as backup to the President in the areas of office equipment, facility maintenance, vendor contacts, staff on-boarding, building tenant, etc.
  • Other duties as assigned
  • This job has no supervisory responsibilities

JOB REQUIREMENTS:

  • At least an Associate's degree (A.A.) preferred
  • At least one year experience preferred
  • Self-starter
  • Exceptional verbal and written communications skills
  • Strong interpersonal skills and ability to work independently as well as with a team
  • Excellent organizational and customer service skills
  • Strong initiative and follow-through, attention to detail, and listening skills
  • Ability to manage multiple projects and meet deadlines in a fast-paced, high change environment
  • Demonstrated proficiency with Microsoft Office suite, with skills in Excel, Word, PowerPoint, and Outlook
